JOB TYPE: Part-Time (20 hours per week)

LOCATION: Remote (Canada Only)

COMPENSATION: $27.50 per hour

ORGANIZATION DESCRIPTION

The goal of the Travel Media Association of Canada (TMAC) is to connect travel media and travel industry professionals. As a not-for-profit organization, TMAC is guided by a volunteer board of directors and managed by its Chief Administration Officer. Membership within TMAC is by application, vetted and approved by the membership review team to ensure TMAC welcomes and has within its network a collective of professionals who value and aspire to harness the power and impact of travel media. 

Established in 1984, TMAC’s mission is to create a positive space for members to cultivate relationships that result in relevant collaborative, comprehensive opportunities and successful outcomes to foster and inspire travel.

JOB SUMMARY:

The Administrative & Digital Coordinator will assist the National Office in operating smoothly and efficiently.  This position will support the Chief Administrative Officer (CAO) of the TMAC National Board to upkeep the company’s infrastructure systems, which include the association’s Customer Relationship Management (CRM), the website, social media channels and corporate records.

The position collaborates on projects with the Board Committee members, including communications, membership, conference, professional development, sponsorship, and other operational activities as needed, accurately and on time.

RESPONSIBILITIES – ADMINISTRATIVE & DIGITAL COORDINATOR

Administrative Support responsibilities to include, but not limited to:

  • Communicate effectively with all stakeholders, including CAO, Committee Chairs, members, and respond to queries in a timely manner
  • Support day-to-day administrative activities as required by the CAO
  • Print and distribute media membership press cards
  • Other duties as required (e.g., record and prepare minutes of meetings, arrange travel schedules, and make reservations)

Digital Coordinator responsibilities to include, but not limited to:

  • Maintain the TMAC website with up-to-date information
  • Maintain member databases across all platforms (eg. Civi CRM, Facebook, Mailchimp) to ensure all members are active members of TMAC
  • Daily monitoring of social media content across all channels
  • Generate, edit, publish, and share engaging content weekly (e.g. original text, photos, videos and news) across all channels, in collaboration with Communications Committee and member supplied content
  • Use online tools to organize, schedule, approve, and monitor social media posts, newsletters, surveys, virtual sessions, and presentations
  • Compile analytics and statistics related to digital activities as requested  
  • Collect, organize, track, create, and schedule Conference Sponsor communications 
  • Maintain website tutorials by updating documentation as required
  • May be asked to attend the annual conference to support operations

SKILLS AND QUALIFICATIONS

  • Strong interpersonal skills that include a clear understanding of tasks required, responsiveness, and a professional, customer-service oriented approach to all situations
  • Basic understanding of bookkeeping and data entry
  • Strong organizational and multitasking abilities
  • Exceptional attention to detail
  • Knowledge of best practices for social media platforms such as Facebook, Instagram, LinkedIn, YouTube, etc.
  • Ability to capture and edit reels/videos
  • Advanced computer skills including MS Office software, Zoom, SurveyMonkey, Mailchimp, etc.
  • General understanding of the Travel Media Association of Canada (https://www.travelmedia.ca/)

“GOOD TO HAVE” QUALIFICATIONS

  • Certification in administration, bookkeeping or digital marketing
  • Prior experience with Customer Relations Management software
  • Prior experience with WordPress
  • Knowledge or experience of working in the travel industry
  • Any experience as an administrative assistant or social media coordinator, or a similar role (minimum 2 years)

CONDITIONS

  • Deadline to submit is July 14, 2025 by 5:00 pm EST
  • This is a remote, contract position to be evaluated after 3 months (October 15, 2025)
  • Must have access to reliable internet
  • Rate of Compensation: $27.50 Per Hour
  • Time Commitment: 4 hours per day (hours of posting will fluctuate depending on urgency, however posting timing is between 7 AM and 7 PM EST)  for a total of  20 hours per week (Monday – Friday)
  • Time off to be discussed
